Completing Booking Checklists on Mobile

Booking checklists are the checks your business requires as a booking happens. When a checklist applies to an item, the mobile app blocks each step until its part is done:

  • Pre-departure checklists must be completed before a rental line is picked up.
  • Pre-check-in checklists must be completed before an experience is checked in.
  • Items in a "Before return / close-out" section must be completed before the booking is returned or completed.

Checklists can also be run sheets — items grouped into named sections that follow the booking ("Client welcome", "Briefing & training", "Return & closure"). Each section shows a badge for what it blocks; Reminder sections never block anything. Tap a line's chip at any time — from the moment the booking is confirmed — to open the checklist, tick what's done, and come back later. Progress saves automatically and syncs with the web portal.

You create and assign these checklists on the web portal (Settings → Booking checklists). On mobile, staff run them.

Reading the status chip

On a booking, each gated line shows a colored chip:

In progress (amber)Some items are done; more remain. Shows e.g. 2/5.
Ready (green)Complete — this line can be handed over.
Critical failure (red)A critical item failed. Handover is blocked until it's fixed.

Lines with no chip aren't gated.

Running a checklist

  1. Open the booking and tap the status chip on the gated line — at handover, or any time before.
  2. Work through each item — Pass/Fail, a tick, a typed value, a number, or a photo, depending on the item.
  3. On a run sheet, items appear under their section headers, each with its "Before pickup / check-in", "Before return / close-out", or "Reminder" badge and its own progress count.
  4. Items marked Critical must pass; a critical failure keeps the step blocked.
  5. Tap Done. The chip updates to reflect your progress — the chip counts the items that block the next action, so a run sheet reads "Ready" for pickup even while its return section is still open.

What happens at handover

  • Pick up (rentals) and Check in (experiences) are blocked while any gated line isn't ready — you'll see a message naming the item.
  • Experience check-in is gated everywhere it happens: the booking screen, the manifest, and the ticket scanner.

Overriding a checklist

If you have the Override booking checklist permission, a blocked handover offers Override & pick up / Override & check in. You must type a reason, which is logged against the booking. Overridden bookings show a permanent red Checklist overridden badge so the team can see it later.

Staff without the permission don't see the override option — they need to finish the checklist (or fix the critical failure) first.
