Working Offline
Trailheads, beaches, river put-ins, the bottom of a ski lift β the places you actually hand over gear and meet guests are often the places with no phone signal. The EquipDash mobile app is built for exactly that. You can keep working with no signal, and everything you do is saved and sent automatically the moment you're back in coverage.
You don't need to turn anything on. It just works.
What You'll Learnβ
- What you can do without signal
- How your changes sync when you reconnect
- What the status bar at the top of the screen is telling you
- A couple of habits that make offline days run smoothly
What You Can Do Offlineβ
When your phone has no signal, you can still:
- See today's work β your bookings, booking details, experience sessions and guest lists, and your calendar, as long as you opened them while you still had signal
- Pick up and return gear β mark items picked up or returned, including condition notes and photos of any damage
- Check guests in β check in a booking, and scan tickets at the meeting point
- Add notes and tags to a booking
- Look up customer details for bookings you've already opened
Everything you do shows up on screen straight away, just like normal β there's no waiting around.
What Needs Signalβ
A few things genuinely need a live connection, so they'll wait until you're back online:
- Taking card payments (Tap to Pay) β card readers always need a connection
- Creating a brand-new booking β this needs to check live availability and pricing
- Checking live availability or prices for walk-ups
If you try one of these with no signal, the app will simply let you know it needs a connection.
How Syncing Worksβ
Think of it like sending a text message in a dead zone β your phone holds onto it and sends it the moment you get a bar of signal. EquipDash does the same with your work.
- You make a change offline (pick up gear, check in a guest, add a photo). It's saved safely on your phone right away.
- A small marker shows that change is waiting to be sent.
- When your signal comes back, the app automatically sends everything that was waiting β in the same order you did it. You don't have to press anything.
Your changes are safe on your phone even if you close the app or your battery dies before you get signal back. Nothing is lost.
The Bar at the Top of the Screenβ
A coloured bar across the top of the app keeps you informed at a glance:
- "You're offline" (grey) β you have no signal. Carry on working; anything you do is being saved.
- "Syncingβ¦" (navy) β you're back online and the app is sending your saved changes. This usually disappears within a few seconds.
- "β¦need attention" (orange) β one or more changes couldn't be sent (for example, a guest was already checked in on another device). Tap the bar to review them, then choose to try again or remove the change.
On a booking, a small badge also shows when that booking has changes still waiting to sync.
When Something Needs Attentionβ
Once in a while a saved change can't go through β usually because something changed on another staff member's device or back at the shop in the meantime (for example, a ticket was already scanned). When that happens, the app keeps your change and shows it to you rather than quietly dropping it.
Tap the orange bar at the top to open the Sync queue, where you can:
- Retry β try sending the change again (handy if it just needed a better connection)
- Discard β remove the change if it's no longer needed
Tips for Offline Daysβ
- Open your day before you head out. While you still have signal, open the bookings and session lists you'll need. The app remembers them so you can view them later with no signal.
- Don't worry about closing the app. Your saved changes stay put.
- Glance at the top bar before you finish up. If it's showing "Syncingβ¦", give it a moment; if it shows needs attention, tap in and clear anything outstanding so your records are spot on.
