Experience Calendar

The experience calendar shows your scheduled activity sessions with capacity indicators and guide assignments. You can view sessions in a list layout or a visual calendar grid, and toggle between a single day or full month.

Opening the Experience Calendar

  1. Click Calendar in the left sidebar.
  2. Click the Experiences tab at the top of the calendar page.

By default, you will see the list view showing all sessions for today.

Toolbar

The toolbar at the top of the calendar provides date navigation and filtering:

  • Previous / Next arrows -- Move forward or backward by one day.
  • Date display -- Shows the current date. Click it to open a date picker and jump to any date.
  • Today button -- Instantly jump back to today's date.
  • Filter dropdowns -- Narrow down sessions by Availability, Category, Guide, or Experience.

View Options

The experience calendar has two sets of toggles at the top right:

  1. List icon / Calendar icon -- Switches between a tabular list layout and a visual calendar grid.
  2. Day / Month -- Switches between viewing sessions for a single day or the full month.

This gives you four view combinations:

List View (Day)

The default view. The left panel shows one row per experience with:

  • Experience name and thumbnail image
  • Session count and times (e.g., "2 sessions - 9:00 AM, 2:00 PM")
  • Capacity badge showing available/total spots

Click any experience to see all its sessions for the day in the right panel. Each session appears as a card showing:

  • Time and date of the session
  • Experience name and schedule ID
  • Guide name or a "No guide assigned" warning
  • Capacity indicator with a colored dot
  • Participant table with Booking ID, name, email, and status (if bookings exist)
  • View manifest button linking to the full manifest page

List View (Month)

Switch to month mode by clicking Month. The left panel now shows each experience with its date range for the month. Click an experience to see all its sessions expanded in the right panel, grouped by date with booking tables for each session.

Calendar View (Day)

Click the calendar icon and select Day to see a vertical timeline:

  • A week row at the top shows seven days. Click any day to switch to it. The selected day is highlighted in navy blue.
  • Below the week row, a vertical time axis displays hours of the day with a left gutter showing hour labels.
  • Experience sessions appear as colored blocks positioned at their scheduled times and sized proportionally to their duration.
  • Sessions that overlap in time are displayed side by side in columns.
  • A red "Now" line marks the current time when viewing today.
  • Each block shows the experience name, capacity, guide assignment, and schedule ID.

Hover over any session block to see a detail popup with full session information and participant list.

Use the left and right arrows next to the week row to navigate between weeks.

Calendar View (Month)

Click the calendar icon and select Month to see a traditional month grid:

  • A standard calendar grid shows all days of the month with day-of-week headers.
  • Sessions appear inside each date cell as colored chips with the experience name and capacity (e.g., "Beginner... 8/8").
  • If more than two sessions fall on the same day, a "+N more" link appears to expand the list.
  • Click a day cell to navigate to that day in the calendar day view.
  • Click a session chip to see its detail popup.

Use the left and right arrows next to the month name to navigate between months.

Capacity Indicators

Throughout the experience calendar, capacity is shown with color-coded indicators:

GreenLess than 60% of spots are booked
Amber/Yellow60% or more of spots are booked, but not full
RedThe session is fully booked (no spots remaining)

The capacity is displayed as a fraction showing remaining spots out of total capacity (e.g., "8/8" means 8 spots available out of 8 total).

Guide Warnings

Sessions without an assigned guide display a "No guide assigned" warning in red italic text. This appears in:

  • Session cards in the list view
  • Event blocks in the day timeline
  • The detail popup

This helps you quickly identify sessions that still need a guide before they take place.

Filtering Experiences

The filter bar lets you narrow down what appears:

  1. Availability -- Show only available or unavailable sessions.
  2. Category -- Show only experiences in a specific category.
  3. Guide -- Filter by assigned guide, or select "No guide" to find unassigned sessions.
  4. Experience -- Focus on a single experience.

To reset all filters, click the Clear filters button that appears when any filter is active.

  • Click the date display in the toolbar to open a date picker and jump to any date.
  • Click Today to return to the current date.
  • Use the left/right arrows in the toolbar to move one day at a time.
  • In the day timeline view, click any day in the week row to switch to that day.
  • In the month grid view, click any day cell to jump to that day in the day timeline.
