Rental Calendar

The rental calendar displays a proportional day timeline showing exactly when each inventory unit is available, booked, or in the workshop. It is the fastest way to check whether you have stock available for a customer at the counter.

Opening the Rental Calendar

  1. Click Calendar in the left sidebar.
  2. The rental calendar is the default view. If you are on the experience view, click the Rentals tab at the top.

How the Calendar Works

The calendar always shows a single day's timeline. Products are listed on the left, and a horizontal time axis shows the business hours for that day (based on your rental opening hours). The Week and Month toggles only change the date navigation strip above the grid — the grid itself always shows one day.

Product Group Headers

Each product appears with a group header row showing:

  • The product name (clickable — links to the product detail page)
  • The product ID badge
  • Current inventory stats (only shown when viewing today): X available, X out, X reserved

Per-Unit Rows (Individual Tracked)

For products with individual inventory tracking, each physical unit gets its own row showing:

  • The variation name (if the product has variations)
  • The unit identifier and inventory number
  • Availability status indicator (shown on today only): Available, Not available, or Workshop

Group Rows (Group Tracked)

For products with group inventory tracking, a single row represents the entire pool. The available quantity number is shown inside each segment.

Only products with inventory tracking enabled are shown on the rental calendar. If a product is missing, check that inventory tracking is turned on in the product's settings. A link to Manage products is shown in the toolbar for quick access.

Reading Availability Segments

The coloured bars across the timeline show availability at each point during the day. Segments are proportional to time — their width matches the exact duration, not fixed hourly blocks.

GreenThe unit is available during that time period
Pink/RedThe unit is booked (out on rental) during that time period
YellowThe unit is in the workshop. Shows a WS label

For group-tracked products, the available quantity is shown as a number inside each segment.

"As of" Timestamp

When viewing today's date, the top-left corner shows "As of 10:02 PM" (or your current supplier time) indicating when the availability snapshot was taken.

The toolbar at the top provides several ways to navigate:

  • ‹ › arrows — Step one day backward or forward
  • Date display — Shows the current date (e.g., "Mar 31, 2026"). Click to open the date picker
  • Today button — Jump back to the current date
  • Week strip — Click any day box to jump to that date. The selected day is highlighted with a dark background. Past days are slightly faded but still clickable
  • Week arrows — Scroll to the previous or next week using the arrows at the edges of the week strip

Month View Navigation

  1. Click Month in the toggle at the top right.
  2. A scrollable date strip shows all days of the current month, automatically scrolled to the selected day.
  3. Click any day to load its availability.

Filtering the Rental Calendar

Use the filter pills in the toolbar to narrow your view:

  1. Availability — Show only available or unavailable products.
  2. Category — Select a category to only show products in that group.
  3. Products — Choose a specific product to see only its units.

To reset, click Clear filters which appears when any filter is active.

Scanning a Barcode to Filter

If your plan supports barcodes, click the barcode scanner icon in the toolbar to scan an item's barcode. The calendar will automatically filter to show that product.

Clicking a Segment or Unit Row

Click on any availability segment to open a popup showing:

  • The product name, ID, and image
  • An Availability tab with a breakdown of available, reserved, and picked-up units for that time period
  • A Bookings tab listing individual bookings with customer name, quantity, pickup time, and return time
  • A View Inventory or View Bookings button to navigate to the full details

Hover over a unit label in the left column to see the same popup for that unit at the current time.

The popup automatically closes when you move your mouse away.
