How Pricing Works
EquipDash uses a flexible pricing model for rentals. You choose how prices are calculated and when they apply, and the system automatically works out the total based on the customer's rental duration.
Pricing Settings
Every product's pricing has two key settings:

Flat/Unit Based Pricing
Flat pricing charges a single rate per time unit. You set one price and choose the billing interval.
- Per unit options: 15 Minutes, Half Hour, Hour, Day, or Week.
- The total is calculated by multiplying the rate by the number of units.
Example: $50/day for a 3-day rental = $150.
This works well when you want straightforward, predictable pricing.
Schedule-Based Pricing
Schedule pricing lets you set custom prices for different durations. You choose a base unit (Charge based on: Hours, Days, or Weeks) and then define tiers with a duration and price for each.
Example tiers (charged based on Hours):
- 1 hour = $10
- 2 hours = $19
- 3 hours = $25
This is the most popular model for rental businesses because it lets you offer better deals for longer bookings.
How the calculation works
When a customer books a product with schedule pricing, EquipDash finds the best combination of tiers to give the customer the lowest possible total.
Example: For a 5-hour rental with the tiers above:
- 5 x 1 hour = 5 x $10 = $50
- 3 hours ($25) + 2 hours ($19) = $44
EquipDash would charge $44 because the 3-hour + 2-hour combination is cheaper.
Additional charges
You can enable an Additional [unit] charge to set a rate for time beyond the last defined tier. For example, if your largest tier is 3 hours and a customer rents for 4 hours, the extra hour would be charged at the additional rate rather than starting a new tier.
Year-Round vs Seasonal Pricing
- Year Round -- One set of prices applies throughout the entire year. Simple and predictable.
- Seasonal -- Different prices for different seasons. Charge more during peak season and less during off-peak. A product uses either year-round or seasonal pricing -- not both.

Pricing Templates
If you have many products with the same pricing structure, you can create Pricing Templates to avoid setting up pricing from scratch each time. Apply a template to a product and optionally adjust the base price.

How Pricing Affects the Customer
When a customer books through the widget or POS:
- They select their dates and times.
- EquipDash calculates the total using the product's pricing rules.
- The breakdown is shown to the customer before they confirm.
- Any applicable promo codes or vouchers are applied on top.
