Quick Book in 30 Seconds
Quick Book is a streamlined booking modal launched right from the rental product detail page or the experience detail page. It is built for the most common counter scenario β a repeat customer wants this one item, you know the dates, you just want a confirmed booking on the books fast.
For complex bookings (multiple line items, extras, discounts, taking payment, waivers) you still want the full POS β Quick Book has a one-click escape hatch that opens the POS pre-filled with everything you have already picked.
When to Use Quick Bookβ
Use Quick Book when:
- The customer already exists in your system (or you can create them with name + email/phone in the modal)
- They want this one product or this one experience session
- You do not need to take payment in this same step (payment can be added on the booking detail page)
Use the full POS when you need:
- Multiple products / experiences / store add-ons in one booking
- Bundles, discounts, promo codes, vouchers
- To take payment now (Stripe terminal, card, cash)
- Required waivers
Opening Quick Bookβ
For a rental product:
- Navigate to Rentals β Products and click the product you want to book.
- Click the + Book now button in the hero strip (top-right of the page).
For an experience:
- Navigate to Experiences β Experiences and click the experience you want to book.
- Click the + Book now button in the hero strip (top-right of the page).
The modal opens centered over the page.
Inside the Modal β Rentalβ
Each rental Quick Book modal shows:
- Pickup / Return pills β pre-set to a sensible default (e.g. tomorrow morning, plus 1 hour). Click either pill to change the date or pick a time.
- Pickup location β auto-selected when you have one location, or a dropdown to pick when you have multiple.
- Variation chips β one chip per variation with a live "N avail" count for the time window you have selected. A variation with 0 avail is greyed out and cannot be picked. A variation with 1β2 avail has a soft amber badge so you can see scarcity at a glance.
- Customer typeahead β type a name, email, or phone number. Pick a result, or if the search finds nothing the modal slides out an inline mini-form so you can add the customer there and then.
- Estimated total β green "Available" pill when the chosen variation is bookable, red "Not available" when stock is gone.
Inside the Modal β Experienceβ
The experience Quick Book modal swaps the rental fields for experience-specific ones:

- Date pill β opens a date picker showing only dates that have at least one upcoming session. Pre-selects the next available session.
- Time chips β every session on the picked date appears as a chip. Sold-out chips show an amber Sold out badge and can't be selected.
- Customer typeahead β same as the rental version: type a name, email, or phone, pick from results, or press Enter to open an inline mini-form pre-filled with what you typed (smart-splits
+61 0409...into country code + local number automatically). - Participant steppers β for per-participant experiences, one stepper per rate category (Adult, Child, Senior, etc.). For per-group experiences, a single Group of N stepper.
- Participant Details (when the experience requires per-participant info) β a row per seat with First name and Last name fields, plus any participant-scope custom fields you've defined. Seat 1 auto-fills from the selected customer's name to save typing; you can edit or clear it independently.
- Estimated total card β running total + an Available / Sold out / Pick a session status pill.
Confirming the Bookingβ
When you have:
- Picked the dates/times (rental) or a session (experience)
- Picked a variation (rental) or set the participant counts (experience)
- Picked or created a customer
- Filled in any required per-participant names and custom fields (experience, when applicable)
β¦the Confirm booking button at the bottom-right turns navy. Click it.
EquipDash creates the booking using the same pipeline as the full POS β the booking source is recorded as POS, inventory / session capacity is reserved, the confirmation email goes to the customer (if email notifications are on), and the page navigates straight to the booking detail so you can take payment, add notes, or hand over the gear.
If anything goes wrong (a session sold out between the page load and your click, missing required participant data, etc.) the modal stays open and a red toast tells you exactly what to fix β your input is preserved so you can correct and re-confirm.
Open in POS for More Optionsβ
If part-way through Quick Book you decide you actually need extras, a discount, custom fields the inline form doesn't cover, or to take payment now, click Open in POS for more options β in the modal footer. The POS opens pre-filled with:
Rental flow:
- The product (and variation, if you picked one)
- The pickup and return window
- The pickup location
- The customer
Experience flow:
- The experience and the chosen session
- The participant counts per rate category (or group size)
- The customer
So nothing you have already typed is lost.
Permissionβ
Quick Book is available to any user with the Bookings β Create permission β the same permission that gates the full POS. If a staff member should not be able to create bookings, remove that permission and the + Book now button will hide on both the rental and experience detail pages.
What Quick Book Does Not Doβ
By design, Quick Book keeps things minimal. To stay fast, it skips:
- Multi-product / multi-experience bookings
- Bundles, store add-ons, custom charges
- Promo codes, vouchers, custom discounts
- Payment collection (use the booking detail page after creation)
- Notes and tags
- Required waivers (the modal surfaces a notice so you know to use POS)
- Editing existing bookings (use Edit Booking for that)
