BEFORE YOU START

Pre-migration checklist

Do these three things first. They prevent the most common migration problems.

  1. Pick a quiet week. Ideally your off-season or a low-demand window. End-to-end migration is 5–7 business days; avoid weeks with major events or peak bookings.
  2. Pull the Checkfront database export. Go to Manage → System → Database → Export. This is password-gated and emailed as a downloadable archive. Also export the Booking Index to CSV. Store both in a dated folder — this is your rollback snapshot.
  3. Inventory your OTA connections. Note every live OTA on Checkfront — Viator, GetYourGuide, Expedia, Google Things to Do, Tripadvisor Connect, MyAllocator. Each needs reconnection on EquipDash; budget time for re-certification.

The migration, in order

Each step assumes the previous one is complete. Run them sequentially, not in parallel.

Export your data from Checkfront

Checkfront supports a full account export via the admin UI, plus per-table CSV via the Booking Index. Because Checkfront uses passthrough payments (Stripe/PayPal/Authorize.net), your payment records stay with your processor, not Checkfront's wallet.

Pull these, in this order:

  • Full account export — Manage → System → Database → Export (emailed archive)
  • Customers CSV — name, email, phone, tags, notes
  • Products/Items CSV — pricing, capacity, schedules, waiver links
  • Bookings CSV — completed (last 12 months) + upcoming beyond cutover
  • Waiver signatures — archive signed PDFs before cancelling
  • Availability rules — screenshot/document; complex rule types don't always export cleanly

Prepare CSVs for EquipDash

Checkfront column headers don't match EquipDash import templates. Download EquipDash's templates (Settings → Import) and remap:

  • Rename column headers to match EquipDash templates
  • Split full names into first/last if needed
  • Convert Checkfront's Items + Inventory structure to EquipDash's product + capacity model
  • Clean stale customers (bouncing emails, test bookings, duplicates)

Keep original Checkfront CSVs untouched. You'll want them if anything looks off after import.

Import into EquipDash

Import in this order: Products → Customers → Open bookings. Don't try to import historical bookings — EquipDash treats your switch date as day zero, with customer history imported as notes on each customer record.

  • Products go through a preview screen — verify pricing, capacity, schedule before confirming
  • Customers import with a tag you specify, so you can filter imported vs fresh signups
  • Open bookings import as draft — review each before confirming

Set up payments, waivers, and OTA connections

Because Checkfront uses passthrough processors (Stripe, PayPal, Authorize.net), your merchant account stays with you — reconnect the same account to EquipDash. OTA channels need re-establishing one at a time.

  • Payments: Connect your existing Stripe/PayPal/Authorize.net account to EquipDash (Settings → Payments)
  • Waivers: Rebuild waiver templates natively in EquipDash — Checkfront's waivers live on their server, not exportable as templates
  • OTA re-connection: Reconnect Viator, GetYourGuide, Expedia, Google Things to Do one at a time — test each before moving to the next
  • Email templates: Rewrite confirmation, reminder, and follow-up emails in EquipDash — Checkfront variables don't map 1:1

Cutover: run both, then switch

For one week, take new bookings in EquipDash while Checkfront fulfils anything already booked there. Keep Checkfront's read access open for 60 days as your reconciliation safety net.

  • Update website, Google profile, and social bio links to the EquipDash booking URL
  • Redirect hardcoded /book/ links from Checkfront widgets to EquipDash
  • Let customers with open reservations finish in Checkfront — don't force-migrate live bookings
  • After parallel week ends, cancel Checkfront (keep exported CSVs and waiver PDFs archived permanently)

API v3 → v4 transition is in-flight

Checkfront's public API v3 is in maintenance mode; v4 is rolling out. If you have custom integrations (accounting, CRM), verify which API they hit before migrating — your old integrations may already be on borrowed time.

OTA re-linking takes 1–2 days each

Each OTA (Viator, GetYourGuide, Expedia, Google Things to Do) needs reconnection. Some require a fresh certification on the new platform. Budget 1–2 days per OTA, test each before going live.

Waiver templates rebuild, not import

Checkfront waivers live on their server as templates, not exportable files. Signed waiver PDFs download individually, but you'll rebuild the template itself in EquipDash. Budget ~30 min per waiver template.

Reports start fresh

Checkfront's reports don't map 1:1 to EquipDash. Export your last 12 months of Checkfront reports before cancelling — those CSVs are your only pre-switch benchmark.

Email templates rewritten, not imported

Copy Checkfront email templates to a doc before cutover. EquipDash's template editor uses different variables, so adaptation is manual — ~1 hour per template.

No concierge service
