How to migrate from TripWorks to EquipDash

The 9% take rate adds up fast

BEFORE YOU START

Pre-migration checklist

Do these three things first. They prevent the most common migration problems — especially around the 30-day data window and payment wallet.

  1. Export signed waivers while your account is still active. TripWorks stores signed waivers natively. Pull them out before cancellation — once you enter the 30-day post-termination window, you're on the clock.
  2. Reconcile outstanding gift cards and credits. TripWorks supports gift cards; any outstanding balances need to be honored on EquipDash manually or paid out. Pull a gift-card liability report before cutover.
  3. Document your 13 OTA connections. Viator, Expedia, GetYourGuide, Klook, Musement, Tiquets, Civitatis, Tripster, Tourbase and the rest all need reconnection. Each can take 1–2 weeks to re-certify on a new platform.

STEP BY STEP

The migration, in order

Each step assumes the previous one is complete. Run them sequentially, not in parallel.

Export your data from TripWorks

TripWorks grants up to 30 days post-cancellation to export data before archive; additional exports are available on request. The "Import & Export" feature supports offline analysis; webhooks and API access are Enterprise-plan only. Pull everything while your account is still active.

Pull these, in this order:

  • Customers CSV — name, email, phone, tags, notes
  • Products CSV — pricing, capacity, schedules, waiver requirements
  • Bookings CSV — completed (last 12 months) + upcoming beyond cutover
  • Signed waiver PDFs — critical: bulk-export from waiver admin (don't rely on post-termination window)
  • Gift card liabilities — run the report and export outstanding balances
  • Abandoned-cart / engagement history — may not export in full; document manually for top customers

Prepare CSVs for EquipDash

TripWorks column headers don't match EquipDash import templates. Download EquipDash's templates (Settings → Import) and remap:

  • Rename column headers to match EquipDash templates
  • Split full names into first/last if needed
  • Convert TripWorks Product → Schedule structure to EquipDash's product + capacity model
  • Remove the 6% booking fee from historical prices if you were absorbing it — you'll reset base pricing on EquipDash's 2% model

Keep original TripWorks CSVs untouched. You'll want them if anything looks off after import.

Import into EquipDash

Import in this order: Products → Customers → Open bookings. Don't try to import historical bookings — EquipDash treats your switch date as day zero, with customer history imported as notes.

  • Products go through a preview screen — verify pricing, capacity, schedule before confirming
  • Customers import with a tag you specify, so you can filter imported vs fresh signups
  • Open bookings import as draft — review each before confirming
  • Waiver templates: rebuild in EquipDash; link signed archive to customer records manually for historical reference

Rebuild payments and reconnect OTAs

This is the trickiest step. TripWorks operates its own payments wallet (not Stripe passthrough), so saved customer cards can't transfer. You'll connect your own Stripe Connect account to EquipDash, and returning customers re-enter payment on their next booking.

  • Payments: Create a new Stripe Connect account in EquipDash Settings → Payments (or connect an existing one)
  • Saved cards: Plan a friendly "we've upgraded" email explaining the one-time re-entry
  • Gift cards: Import outstanding gift card balances into EquipDash or issue store credit equivalents
  • OTA re-connection: Reconnect 13 direct OTAs one at a time (Viator, Expedia, GetYourGuide, Klook, Musement, Tiquets, Civitatis, Tripster, Tourbase, EBG, Sightseeing Pass, Booking Radar, Google Things To Do)
  • Email templates: Rewrite confirmation, reminder, follow-up emails — TripWorks variables don't map 1:1

Cutover: run both, then switch

For one week, take new bookings in EquipDash while TripWorks fulfils anything already booked there. Keep TripWorks read access open for the full 30 days as your reconciliation safety net.

  • Update website, Google profile, and social bio links to the EquipDash booking URL
  • Redirect hardcoded booking widgets from TripWorks to EquipDash
  • Let customers with open reservations finish in TripWorks — don't force-migrate live bookings
  • On day 28 post-termination: verify all exports complete, especially signed waivers
  • After parallel week ends, cancel TripWorks — archive exported CSVs and waiver PDFs permanently

30-day post-termination data window

TripWorks grants up to 30 days to export data before archive; additional data on request. Don't rely on post-termination for waivers or gift card balances — pull everything before you cancel.

Saved cards don't transfer

TripWorks uses a native payments wallet, not Stripe passthrough. Tokenized customer cards can't migrate to your new Stripe Connect account — returning customers re-enter payment on their first EquipDash booking.

OTA re-linking takes weeks

Each of TripWorks' 13 direct OTA connections (Viator, Expedia, GetYourGuide, Klook, Musement, Tiquets, Civitatis, Tripster, Tourbase, EBG, Sightseeing Pass, Booking Radar, Google Things To Do) needs re-certification. Budget 1–2 weeks per priority OTA.

Gift card liabilities need manual handling

Outstanding TripWorks gift cards don't transfer automatically. Pull the liability report before cutover, then either honor them manually or issue equivalent EquipDash store credit to customers.

Abandoned-cart / engagement history

TripWorks' cart-recovery and engagement data may not export cleanly. For your top customers, document manually before cutover — otherwise those retention signals reset to zero on EquipDash.

No concierge service
