Customer Self-Serve Extensions, Reschedules & Cancellations

Customers can now extend a live rental, reschedule, or cancel directly from their booking page — no email back-and-forth, no phone calls.

Here's how it works in practice: a family rents kayaks for two hours, they're having a great time, and they want another hour. You send a one-tap "extend by an hour" SMS or email mid-rental. They pay the extra time straight from the link. What used to be a late return and an awkward conversation at the counter is now a paid extension that closes itself.

The same applies to reschedules and cancellations. Customers handle it themselves within the rules you set — cancellation windows, reschedule limits, refund policies. You define the guardrails, they do the rest.

Pickup Window Limits

Busy mornings used to mean a queue out the door at 9 AM. Now you can cap how many rentals your team hands out in the same window so the counter never gets overwhelmed.

Set a limit — say 5 pickups every 15 minutes — and full windows automatically show as booked out on your widget. The next open slot gets suggested instead. Your staff processes each customer properly, fittings don't get rushed, and nobody waits 40 minutes for a bike that should take 3 minutes to hand over.

Blackout Periods

Close your rentals for public holidays, maintenance mornings, or one-off events without touching your regular opening hours. Set one-off or recurring weekly closures and those days and times drop off the booking widget instantly.

Existing bookings stay untouched — blackouts only block new reservations. No more fielding calls about "your website says you're open but you're not." The widget handles it.

Per-Participant Item Assignment

Group bookings just got a lot more organised. You can now assign each item in a multi-person booking to a specific participant — Sarah on bike #14, Tom on bike #07 — so fittings, sizes, and serial numbers stay tied to the right person.

Returns, damage reports, and fit history all flow back to the individual, not just the booking. When Tom brings back bike #07 with a scratched derailleur, you know exactly who had it and what condition it was in at pickup. No more guessing games when four bikes come back and one has damage.

Custom Default Security Deposits by Product

Set a default security deposit on each product — $200 on premium e-bikes, $50 on a paddleboard — and EquipDash pre-authorises the right amount automatically at checkout.

No more flat one-size-fits-all holds or manual adjustments at the counter. A customer renting a $3,000 e-bike gets a proportionate hold. A customer grabbing a pool float gets a smaller one. Your staff don't have to remember or calculate — the system handles it per product.

Fit Room — Ski & Snowboard Fit Tickets

Capture a digital fit ticket for any ski, snowboard, or boot rental — sizing, ability level, boot sole length, and stance preferences, all tied to the booking.

A built-in DIN calculator suggests a binding release value from the ISO 11088 chart, and pickup stays blocked until a tech confirms the setting. Every confirmation is logged for safety compliance. Skiers can pre-fill their details at online checkout, and returning customers copy last season's fit in one tap — no re-measuring, no paperwork, no liability gaps.

SMS Notifications

Send booking confirmations, reminders, payment receipts, and waiver requests by SMS — not just email. Customers get the text in seconds, no-shows drop, and waivers come back signed before pickup.

Top up a prepaid balance and pay per message at published per-country rates, or bring your own Twilio account for volume pricing. SMS works alongside email — you choose which notifications go by text, which go by email, and which go both ways.

Bulk Export Forms & Waivers

Generate an insurer-ready zip of signed waivers in a few clicks. Each waiver exports as a PDF with your logo and the customer's signature embedded, plus a manifest CSV and any uploaded files like ID photos.

Filter by date range, customer, or form type, then download from a secure link. You can kick it off from the supplier portal, the API, or just ask Dash AI to "export last month's signed waivers." When your insurer asks for documentation, you hand them a clean zip file instead of scrambling through filing cabinets.

How does the self-serve extension work for customers?

How much does SMS cost?

SMS pricing is per-message at published per-country rates — typically a few cents per text. You can prepay a balance or connect your own Twilio account for volume discounts. There are no monthly minimums or platform surcharges on top of the message cost.

Can I export waivers for a specific date range?

Yes. The bulk export tool lets you filter by date range, individual customer, form type, or any combination. You can also trigger exports via the API or by asking Dash AI.
